YOUR CLUB or GROUP is invited to participate
at the upcoming Rochester Hamfest.
A complimentary exhibit booth for your club or group will be provided.
The booth includes a drape background, 8 feet high, side
curtains, one eight foot table and two chairs. Tables are
undecorated. Exhibitors may provide own table decorations.
AC power is provided.

BOOTH ASSIGNMENTS
Complimentary booths are assigned on a space available basis.
You may select a booth of your choice. Should a paid
commercial exhibitor select your booth location, another will be
assigned by the exhibits chairman. Because of that, we cannot
confirm an exact space in advance.
CREDENTIALS
Two exhibitor badges will be granted to each club or group.
Names and calls for the badges must be submitted in advance on
the club application form. Badges will be available at the
hamfest registration desk in the lobby of the RIT Inn & Conference Center.
The desk will be open all hamfest weekend
beginning Thursday afternoon, May 29. Only those with proper
credentials issued by our staff are permitted in the building during
closed hours. Credentials must be obtained prior to your arrival at
the fairgrounds site.
INSTALLING AND DISMANTLING
Plan to install your booth between 8 a.m. and 12:00 noon on Friday,
May 30. Booths may not be dismantled before 5:30 p.m., Saturday.
STAFFING
Booths must be staffed during all show open hours.
LABOR
Installation and dismantling of exhibits may be done by exhibitor.
SAFETY
All materials and installations must conform with federal, state and
municipal safety and fire laws, ordinances and regulations.
SALES
Club groups may not sell merchandise. Sales are permitted only
by exhibitors who have purchased booth space. Commercial
exhibitors pay $175 for each booth. If you club wishes to sell
and pays the regular booth fee, sales are permitted. Club
memberships may be sold.
CONTESTS
Show management shall be informed in advance of games and prize drawings
planned for in-booth operation. Due to a complex set of state
and local regulations, raffles are not permitted within the exhibit
area. If your group or club furnishes copies of permits to the
show management prior to the show, then raffles may be permitted.
SUBLETTING
Booths may not be sublet without knowledge and consent of show management.
RESERVED PARKING
A special area close to the show site is reserved for exhibitors. A
private entrance to the parking area is provided.
